A growing international architecture studio was managing complex multi-stage projects (design, permitting, construction, handover) across scattered tools—Excel schedules, Microsoft Teams checklists, email threads, and individual to-do apps.   • We built custom project templates with all stages (design intent, construction drawings, permitting, construction, handover) that could flex for 1-month or 1-year projects.
  • Created separate views for designers (just their tasks), project managers (full project oversight), and clients (simplified schedules)
  • Developed capacity planning views so they could instantly see team availability and prevent overbooking
  • Documented all processes and checklists in ClickUp, so knowledge wasn't locked in anyone's head
  • Set up forms to capture project details consistently (CRM functionality)
  • Integrated vacation tracking so the system automatically blocks unavailable team members
